Harper's HVAC Supply

This is a representative use case. Harper's HVAC Supply is an illustrative customer, but the technology, system integration, tag workflows, and Guardian architecture described here are fully built and production-ready.

The Challenge

Harper's HVAC Supply is a regional wholesale parts distributor with a trade counter, showroom, and a 5,000-bin warehouse. Contractors walk in expecting to see their price — not list, not retail. Counter staff fielded dozens of “what's my price?” questions every day. Will-call orders piled up on shelving with sticky notes that fell off. Pickers worked from paper lists, walking the warehouse blind.

Tier Pricing on Every Tag

TAG35 tags on the trade counter show up to three price levels: List, Contractor, and Volume. The integration adapter fetches price levels automatically and pushes them to every tag. Contractors see their price without asking.

Will-Call That Works

Counter staff assigns a sales order to a staging bay TAG58. The 5.8″ screen shows customer name, order number, items staged, and a 6-character pickup code. When the SO ships in the business system, the tag auto-clears.

Pick-by-Tag

A pick session lights up the first bin tag's LED in walk-path order. The picker scans the barcode, the LED stops, and the next tag lights up. Pick-to-light without the $50–200/location infrastructure spend.

Reorder Intelligence

Every warehouse bin label shows current stock, reorder point, and on-order quantity. When stock drops low the tag goes yellow. When a PO is placed, it shows “ON ORDER: 24.” The buyer's walk-through takes ten minutes instead of an hour.

Guardian Resilience — The Commander sits on Harper's LAN alongside the inventory server. When the internet drops, the trade counter keeps running. Price updates, will-call assignments, and pick sessions all work locally. The cloud syncs when connectivity returns.

“My contractors used to ask the counter guy 'what's my price?' on every order. Now it's right on the tag — Contractor $3.49, Volume 10+ $2.99. They just grab and go.”

On tier pricing

“We used to have a shelf of will-call orders with sticky notes. Half the time the notes fell off. Now there's a screen at each bay with the customer name, what's in the order, and how long it's been sitting there.”

On will-call staging

“The pick-by-tag thing blew my mind. I didn't buy any new hardware — the shelf labels I already had started flashing green in walking order. My picker just follows the lights.”

On pick-by-tag

“Tuesday morning I walk through the warehouse. If a bin tag is yellow, I check if there's already a PO. If it says 'ON ORDER: 24,' I keep walking. That walk used to take an hour with a clipboard. Now it takes ten minutes.”
